Managing bids as a supplier

Managing bids as a supplier

Option 1: Receive a Bid Request & Submit Bid

Step 1: After receiving an email with a bid request for approval, the supplier should click on "View project details."

Step 2: The supplier can either decline or accept the invitation to bid. If they choose to decline, they can provide an explanation.

Once they have declined the invitation to bid, they cannot re-open their bid.

Step 3: If the supplier accepts the invitation, the Messaging, Q&A, and Bid Form tabs will be unlocked.

Messaging: The supplier can communicate with the company.

Q&A: The supplier can ask questions about the project.

When they click on "Post Question," the following screen will appear:

Bid Form: The supplier can change the bid currency, insert the total bid value, add comments, and attach files.

Once the supplier clicks "Submit Bid," a pop-up will appear to confirm if they are ready to submit the bid.

If the supplier wishes to make changes, they can reopen the bid by clicking on the "Re-open Bid" button at the bottom right of the screen.

The option to edit the bid will be available until the deadline or until the winner is chosen.

Option 2: Send Bid via Email Message

The supplier has the option to send the quote by replying to the email they received. An example is shown below:

If they choose to contact you this way, their quote and message will be available within the "Messages" tab in the Bid Room.

The supplier can also send the quote directly through the message box after accepting the bid.

When the supplier sends their quote via email, the bid will need to either be added manually or submitted on behalf of the supplier. Learn more about this here.
